Who is this for?
This privacy declaration is directed to all current, future and past members of Sex-Positive Belgium and everyone who attends or shows interest in our activities.
Who collects and uses your data, and what for?
For the proper functioning of our group, we collect and use personal information to provide you with the safest space possible.

Most information is provided to us by the Meetup platform, and is deleted when you delete your Meetup profile.
Some other data is collected when you share it with us in different ways: Meetup profile answers, contact through messaging, email, personal contact, …

The data is protected by the data systems of Meetup and Google Drive.

Consent
At SPB we are big fans of consent in all walks of life. As members need to actively contribute to a questionnaire and opt into becoming members we treat this as explicit consent for data to be collected. However, if you change your mind and wish for your data to be deleted see the section: You want your data entirely/partly deleted?

From the moment you register with our Meetup Group (not Meetup itself), we start to collect:


  • Given name (to reference you)
  • Your Meetup ID (to track your Meetup data and to give you access to the SPB Library)
  • Orientation (to balance our group)
  • Gender (to balance our group)
  • SPB’s impression on how you handle consent, boundaries and your intention to join our group (as well as impressions given by other people).
  • Your attendance to events (going/went/didn’t go/no-show)
  • Your membership payment (to check if you paid your yearly dues)
  • Allergies and diet info (when we organise a brunch or weekend, so we can take them into account)



Next to the already mentioned reasons, these are also part of it:
We might have to contact you with practical info regarding our group, events, membership.
In order for you to take part in our events, we need to track your attendance.
In order for you to be part of our group, we need some basic information.

Right to Access
You can always ask for all the data we have about you.
You can do this by contacting us at sexpositivebelgium@gmail.com.

We will only use this data for the purposes we have explained here, none other. So we will never sell or rent your data, and never use it for commercial goals. We will also never publish any of your data or pictures. Even if we did want to use your data for purposes not described in this policy, we would always ask your explicit consent first.

Do we share your data?
Your data will never be shared to third parties, except Meetup (the platform we use) and Google Drive (to save our working data), both are on restricted access.
It can also be transferred to other chapter organisations of Sex-Positive World, only upon your request, if you plan to join them.

We will share data with legal authorities if lawfully required to do so and not conflicting with our own values as described in our Manifest.
Want to move to a similar organisation?
No worries. We pack all the info we have and send it upon your request to the other organisation!

How long do we keep your data?
As long as you are a member of Sex-Positive Belgium we keep your data.
We promise to not keep your data longer than five years after you have left Sex-Positive Belgium as a member. If you need for your data to be deleted see the section: You want your data entirely/partly deleted?

How can you edit/correct/delete your data?
We don’t have any automated process for this, so if you want to change your data, you can do so through your Meetup Profile and/or by contacting membership coordination. Therefore you should send an email with your request to sexpositivebelgium@gmail.com.

You want your data entirely/partly deleted?
There are multiple ways:
You can delete your Sex-Positive Belgium membership;
You can delete your Meetup account;
You can email us with a request to delete all or part of your collected information.

As mentioned above, some information we require for you to have an active membership in Sex-Positive Belgium.

How do I send in a complaint if my data is used wrongly?
By contacting us here: sexpositivebelgium@gmail.com. We will answer you within two weeks maximum and follow up until the issue is resolved.
